Tips

  • Tell your manager in a meeting or on a call first, then send the letter the same day so the date is on record.
  • Check the notice period in your offer or appointment letter. It usually runs from the day you hand in your resignation, unless your contract says otherwise.
  • Keep it short and positive. You don't have to explain why you are leaving, and a resignation letter is not the place for complaints.
  • Email it to your manager with HR in copy, and keep a copy for yourself.
  • Ask HR when you will get your final settlement and your relieving or experience letter.

Frequently Asked Questions

How do I write a resignation letter?
Address it to your manager, say clearly that you are resigning and from which position, give your notice period and last working day, thank them, and offer to hand over your work. Sign it with your name. Three or four short paragraphs are enough.
Do I have to give a reason for resigning?
No. A reason is optional, and many people leave it out. If you give one, keep it to one positive sentence, such as a new role or moving cities.
How is the last working day worked out?
Count your notice period from the date you hand in the letter, unless your contract says otherwise. For example, with 30 days' notice from 1 October, the last working day is usually 30 October. The notice period calculator works it out for any date.
Can I send my resignation by email?
Yes. Most employers accept a resignation by email. Paste the letter into the email body or attach it as a PDF, send it to your manager and copy HR.
